1. Goal

At BuddyGoDutch, we want every affiliate to feel comfortable and welcome, regardless of nationality, gender, sexuality, religion,  physical condition or any other matters that are part of their personal identity. In order to ensure this, this code of conduct contains guidelines on desired behaviour within BuddyGoDutch. We expect all people associated with BuddyGoDutch (e.g. Board members, committee members and external attendees) to adhere to these rules and guidelines during BuddyGoDutch related activities. Together, we make BuddyGoDutch a fun, safe and great place to bring people together.

The code of conduct consists of three parts:

  1. General conduct (i.e general rules).
  2. Personal directives (i.e. what is to be expected of specific groups, such as the Board members ).
  3. Acting on transgressive behaviour (i.e. possible consequences to transgressive behaviour).

Please do not hesitate to contact us with any questions or suggestions regarding this code of conduct. 

2. General conducts

  1. We respect others regardless of nationality, gender, sexuality, religion, physical condition or any other matters that are part of their personal identity. Discrimination on any grounds will not be tolerated.
  2. We respect each other’s boundaries. There will be no pressure on anyone to do things that they are not comfortable with.
  3. You are responsible for your own actions and their consequences. 
  4. The Board can impose warnings and sanctions, if deemed necessary. You will have to comply with these warnings and/or sanctions, as mentioned in section 4. 
  5. Local legislation must always be complied with. This code of conduct is supplementary to current legislation.
  6. The possession, use or being under the influence of drugs (i.e. List I & II of the Opium Act) will never be tolerated, except when prescribed by a physician. 
  7. The use of alcohol under the age of eighteen and/or the supply of alcohol to minors during activities related to BuddyGoDutch will not be tolerated.
  8. We adhere to the prevailing house rules of external locations. 
  9. We adhere to the prevailing rules and laws in the public space. We take account of other people in the area and we do not place ourselves above the applicable rules and laws.
  10. We have respect for each other’s property. We do not steal or damage, and we see to it together that property remains intact.
  11. Verbal and physical violence (including cyberbullying and intimidation) will never be tolerated.
  12. Sexually transgressive behaviour will never be tolerated.
  13. Confidential information will be handled with integrity and discretion. 
  14. We hold each other accountable for violations of this code of conduct. 
  15. If there are matters that require action, the Board or the confidant is the point of contact for further action.

3. Personal directives

In addition to the general provisions, we feel it is important to mention that a certain behaviour is expected from every group that is involved in the events and/or activities. This is why we have listed a number of points of attention per group.

3.1 Attendees

  1. You are present at an activity out of your own motivation, you take part in it and you ensure that you do not disrupt it.
  2. Irresponsible alcohol consumption can have consequences. 
  3. You have respect for the organisers of an activity, follow their instructions and behave properly.

3.2 Committees/organisers

  1. You take care of the activity you have organised.
  2. You try to ensure that everyone feels welcome at your activity.
  3. You do not force someone to do things they are not comfortable with.

3.3 Board members

  1. Board tasks are always carried out in the interests of BuddyGoDutch. You will make sure that the organisation does not end up in a bad light because of your actions.
  2. The Board will ensure that at least one member of the Board is able to act adequately at any time during organisation-related matters.
  3. The Board is responsible for the implementation and observance of the Code of Conduct. 
  4. The Board has integrity when considering warnings and/or sanctions.
  5. The Board should treat misconduct by a fellow Board member with integrity. 
  6. The Board is aware that in promoting activities you are representing the organisation. You do not spread inappropriate things in the name of the organisation.

4. Acting on transgressive behaviour

In case of violation of the code of conduct, there are possibilities for warnings and sanctions. These warnings and sanctions are imposed by the Board. The Board decides when a warning and/or sanction is necessary. We ask you to contact the Board or the confidant if you feel the code of conduct is being violated by anyone affiliated with BuddyGoDutch. If the board violates a rule within this code of conduct, sanctions will be imposed through their established protocol.

4.1 Warnings

  1. The Board can call someone to account for his (mis)behaviour by means of an official warning and point out sanctions that may follow if this behaviour continues.
  2. A verbal warning will be issued during/after the violation, and/or a written warning will be provided after the violation. 
  3. The Board shall provide an opportunity to discuss the warning.
  4. If a party is clearly disadvantaged by someone’s behaviour, they can be informed about the issued warning.
  5. Only the Board has insight into all the warnings issued. Some of this information may be shared with discretion through article 4.1.4 or with the supervisory council. 

4.2 Sanctions

  1. The Board may apply sanctions. It is not necessary to issue a warning first.
  2. The sanction imposed should be proportionate to the misconduct.
  3. Examples of sanctions include banning from activities, banning from committees and/or banning from becoming a buddy. This can be done indefinitely, or for a certain period of time. 
  4. A sanction will be notified in writing to the party concerned. The Board will explain why it has decided to impose a sanction. 
  5. The party against which sanctions are imposed may appeal against them. This can be done by requesting this from the Board. The Supervisory Council will be involved in the appeal.

4.2.1 Removal from activities

  1. If necessary, attendees can be removed from an activity. They do not hold any right to a refund. 
  2. If necessary, arrangements will be made by the Board as to who may remove people from the activity (for example, local security or police). The Board remains responsible at all times.
  3. If inappropriate behaviour requires action to be taken, we encourage you to inform the Board.
